In issue management in the Allthings Cockpit, various features are available to help you search and filter tickets efficiently. This makes managing and processing requests much easier.
General ticket search
Use the central search bar at the top of the screen in Cockpit to run a comprehensive full-text search. The built-in search also lets you combine several search terms (for example, the requester's name together with a distinctive word from the ticket title).
The system flexibly searches the following data fields: ticket number, requester, property address, unit number, title, labels, and message text. In addition, comments (including internal comments), assignees, and involved persons are included in the search wherever such data exists.
How to use ticket search step by step:
- Activate the search field: Click the central search bar at the top of Cockpit labeled "Search in issue management...".
- Enter a search term & use the quick preview: Start typing. As soon as you've typed exactly three characters, a dropdown menu automatically opens with a quick preview of the first three matching results.
- Open the full results page: Press ENTER to display the complete list of results on its own overview page.
- Extend the search to closed and archived cases: By default, the results page only lists open tickets from non-archived properties. On the results page, click "Show closed tickets" to also display closed tickets, as well as tickets from already archived units, buildings, or properties.
- Return to the table view: Click the back arrow to the left of the search results to end the search and return to the standard issue management table.
Column filters directly above the table
Directly above the table, you can filter tickets by individual columns without permanently saving a filter:
- Show filters: Click the filter icon above the table. A filter field opens.
- Select a column: In the Columns field, select the column to filter by (for example status, category, or address).
- Set an operator and value: Choose an operator and enter the term you're looking for in the Value field.
- Add more filters: Use Add filter to combine several column filters.
- Remove filters: Remove individual filters via the trash icon in the corresponding row, or remove all of them at once via Remove all.
Column filters take effect on the displayed table immediately and remain active until you remove them – even after reloading the page. Unlike custom filters, column filters are not saved as a named, reusable filter in the sidebar.
Creating and managing custom filters
In addition to the global full-text search, you can create fixed, personalized filter lists in the Custom filters section in the left sidebar:
- Create a new filter: In the left sidebar, in the Custom filters section, click "New filter" to open the filter configuration for all tickets.
- Select criteria: Combine various parameters such as "assignee", "requester", "property", "address", "status", "category", and "labels". You can set your filter rules very specifically or select just a few options.
- Save the filter: Once you've made your selection, you can name the filter and save it permanently. The saved filter then appears permanently in the Custom filters section in the left sidebar. Your individual filter lists are visible only to you and can be adjusted or removed at any time.
This feature lets you structure recurring ticket scenarios to match your daily workflows.
Collapsing and expanding the filter menu
The left sidebar with the predefined system overviews and your custom filters can be collapsed when needed. To do so, click the arrow next to the Issue management heading. This gives the table more width so you can see more columns at once. Click the arrow again to expand the filter menu.
Tickets from my properties
If you have assigned a team member at least one administrative or supervisory role for a property via role management, that team member automatically receives a predefined system overview in issue management. Under "Tickets from my properties", we give the team member a structured list of all tickets for the properties they are explicitly authorized for. This ensures a fast, role-based overview and makes it significantly easier to manage several property portfolios in parallel.
Combining global search with individual filters lets you run your issue management with maximum efficiency and ensures requests are handled promptly and completely.
