The right allocation of roles represents a good opportunity to increase your efficiency. Here is an overview of how to go about it, regardless of the size of the app.
Smaller apps with up to 20 Property Managers
- Set up the accounts for your employees, contractors and outside employees yourself.
- Name one or two of your employees Team Admins so that they can set up additional employee accounts.
- Your employees should have access to the entire app and be equipped with the appropriate authorizations.
- If you use automatic ticket assignment, link the roles to the associated Service Center categories and assign them the properties concerned.
Mid-sized apps with 20 to 100 Property Managers
- Set up the accounts for your employees, contractors and outside employees yourself.
- Name one or two of your employees Team Admins so that they can set up additional employee accounts.
- Your employees should have access to the entire app and be equipped with the appropriate authorizations.
- If you use automatic ticket assignment, link the roles to the associated Service Center categories and assign them the properties concerned.
- If you don’t want to use automatic ticket assignment, we still recommend creating at least one role in Role Management for the employee with Service Center authorization and assigning him one property so that he can access the 'Team Filter' function in the Service Center.
Large apps with more than 100 Property Managers
- Import the accounts for employees and contractors using an ERP interface.
- Name one or more employees Team Admins of branches or of the app as whole so that they can have an overview of all Property Managers in the Cockpit and so they can recognize and fix any problems with authorizations or assignments. Please note that all changes (e.g. names, email addresses, authorizations) must be done using the ERP interface and that no changes can be made manually.
- Configure the ERP interface in such a way that the employees have authorizations for all properties in a branch.
- Also import the corresponding roles for the properties and employees using the ERP interface so that the 'Team Filter' function can be accessed.
If you want to use automatic ticket assignment, link the imported roles to the corresponding Service Center categories.
