Allthings uses artificial intelligence (AI) to improve its services for you — from supportive features in issue management to automated phone and chat assistants. We place great importance on data protection, transparency, and compliance with legal regulations such as the GDPR, the Swiss Data Protection Act, and the EU AI Act.
How do I know I'm talking to an AI?
When an Allthings feature communicates with you using AI, this is made unmistakably clear — before or right at the start of the interaction. There is no wording that could let an average person believe they are speaking with a human.
Approved phrasing includes, for example:
- "You are speaking with an automated assistant."
- "You are speaking with an AI assistant."
- "You are speaking with an AI employee of [Property Management Company]."
This disclosure occurs at the earliest possible point in the interaction and is part of the spoken or written conversation itself — not buried in an announcement that's easy to miss. If a conversation later transfers from AI to a human agent, or the other way around, this handover is also disclosed in real time.
Are my conversations recorded?
If a product records a non-public conversation (e.g. a phone call), you are informed before the recording captures any substantive content — and you can decline or end the call at any time if you do not wish to continue.
Approved baseline script: "… Please note that this call is being recorded to process your request. By continuing, you agree to the recording."
Consent implied by continuing the call applies only to the stated purpose of processing your request. If a recording is also intended to be used for quality control or training purposes, Allthings obtains a separate, explicit consent for that — one that isn't already implied by continuing the call.
How is my data stored?
- Retention period: Recordings and transcripts are kept only for as long as necessary for the stated purpose.
- Access control: Access is restricted to named roles with a documented business need.
- Encryption: Recordings are encrypted both at rest and in transit.
- Purpose limitation: Recordings collected to process a request are not later repurposed for quality control, training, or marketing without separate consent.
- Deletion: Automated deletion takes place at the end of the retention period.
- Your rights: You can request access to, or deletion of, a recording that concerns you at any time.
GDPR (General Data Protection Regulation)
The European GDPR sets one of the highest international standards for the security of personal data, guaranteeing you the right to transparency, control, and deletion. The GDPR's standards also serve as a benchmark for Swiss data protection law. Allthings processes only the necessary data with your consent, following the principles of data minimization and using anonymization and pseudonymization wherever possible.

EU AI Act
The EU AI Act regulates the safe and transparent use of artificial intelligence. It ensures that AI systems are clearly identifiable as such, do not make discriminatory decisions, and comply with data protection regulations.
