Introduction
With tags, you control visibility and permissions in the Cockpit quickly, targeted, and with minimal effort. Whether for micro-apps, bookable objects or content such as pinboard posts and info articles - tags enable simple assignment to specific properties, buildings or residential units.
Instead of manually selecting individual channels, you use predefined tags that are set up at the app, property, building or residential unit level. One click is enough to assign permissions or define visibility for content.
Especially with extensive apps with many units, working with tags ensures clarity and saves valuable time.
Information in the help center
For detailed instructions and further information on using the info article function, the following articles are available in the Help Center:
Required permissions
To create or manage tags, you need the "Tag Admin" permission. To view or edit content with a specific tag, you must have the corresponding permissions assigned for that tag. For example, if you want to set the visibility of a pinboard post to a tag, you need the "Pinboard Agent" permission for that tag. To assign permissions for a tag to a team member, you need the "Team Admin" permission.
Tag functions
- Team management (permissions): Tags simplify the assignment of permissions considerably. Users only get access to content that matches their assigned tags.
-
Communication center: Tags can control the visibility of pinboard posts. This allows posts to be assigned specifically to certain user groups or channels.
-
Documents: When uploading documents, you can choose whether a document should be visible for an entire tag or only for certain channels of the tag – depending on your permission.
-
Info articles: The visibility of info articles can also be controlled with the help of tags, similar to the communication center.
-
Bookings: Tags facilitate target group control for bookable objects, e.g., if certain rooms or items should only be bookable for certain groups.
-
Core data: If you have the "Master Data Admin" permission for a tag, the tag will also be displayed in the core data. There you can manage all associated channels.
-
Platform settings (micro-apps): Tags support the targeted channeling of micro-apps, so that certain functions or content are only provided to selected user groups.
Example of using tags
A Cockpit user manages several properties and wants to ensure that tickets, documents, or posts can only be viewed and edited by the responsible teams. For this purpose, the tags "Liegenschaft A" and "Liegenschaft B" are created. The respective teams are given tag permissions via team management. This ensures that, for example, only Team A can see and edit content with the tag "Liegenschaft A".
