What is a Commercial Tenant Admin?

Commercial Tenant Admin is a permission for a person within a tenant company that gives them extended rights in the Allthings App. This role is particularly suitable for contact persons or responsible employees within a company, such as reception staff, team assistants, personal assistants, or office managers.

Permissions

People with the Commercial Tenant Admin permission can, within their tenant company:

• Invite employees to the app
• Remove employees
• Manage information about the tenant company within the app
• Manage permissions for employees (if provided in the app)
• View and create teams within the tenant company

These permissions are limited to their own tenant company. Access to other companies or the general Cockpit settings is not possible. Rental periods can only be managed by the property management.

Restricting functions for employees without the Commercial Tenant Admin permission

In the Settings tab of a tenant company, you can determine which app functions are exclusively accessible to people with the Commercial Tenant Admin permission.

The following options are available:

• Issue management
  • Accessible to all employees (optional: Commercial Tenant Admin may also view the tickets of other employees)
  • Only visible to people with the Commercial Tenant Admin permission
• Documents
  • Accessible to all employees
  • Only visible to people with the Commercial Tenant Admin permission

This allows you to flexibly control which content and functions within the app may only be used by responsible people – for example, to maintain data protection or a clear distribution of roles.

Assigning the Commercial Tenant Admin permission

You can invite a person with the Commercial Tenant Admin permission to the app in two ways:

1. Invitation by email

1. Open Tenant company management.
2. Select the company concerned.
3. Switch to the "Invited employees" menu item.
4. Click on Invite employees.
5. Enter the email address and activate the option to invite the person directly as a Commercial Tenant Admin.
6. Send the invitation.

2. Invitation by activation code

1. Open the Settings tab within the tenant company.
2. Create an activation code.
3. Activate the option that the code is valid for the Commercial Tenant Admin permission.
4. Share the code with the person concerned.
5. After registration, they will automatically be assigned the corresponding permissions of the tenant company.

Assigning or removing the Commercial Tenant Admin permission

Employees of a tenant company who have already been invited or registered can also be appointed or removed as a Commercial Tenant Admin retrospectively.

Proceed as follows:

1. Open Tenant company management in the Cockpit.
2. Select the desired company and go to the "Registered employees" menu item.
3. Click on the "three-dot symbol" on the far right of the row of the person concerned.
4. Select "Assign as Commercial Tenant Admin" or "Remove as Commercial Tenant Admin".

The current permission is directly visible in the Permissions column. This way, you always keep track of who has extended permissions within the tenant company.

Best practices

• Every active tenant company should have at least one person with the Commercial Tenant Admin permission.
• Promptly remove the permission if the person leaves the company.
• Use the activation code option for initial setup or for larger teams.
