Introduction
The Core data function in the Allthings Cockpit enables the central management of your property structure. The status of individual objects – such as properties, buildings, or units – is used to specifically control the lifecycle of these objects and to regulate their visibility and editability.
Status options and their meaning
The following status options are available for properties, buildings, and units:
- Setup – The object is in the process of being set up. It is not active and not visible to residents.
- Active – The object is in use and can be actively used.
- Archived – The object is closed, no longer active, and hidden.
Important: The status must be applied hierarchically correctly. A building can only be active if the superordinate property is also active. However, individual units may be archived while the building remains active.
Effects of the status
- Setup – The objects are not visible or usable.
- Active – Objects are in use, visible, and fully functional.
- Archived – The objects are hidden and can no longer be used. In this case, residents no longer have access to the app.
Important: Units cannot be added if the superordinate building is archived. In this case, you must first change its status to active.
Make status changes
To change the status of an object:
- Go to the Core data menu item in the Cockpit.
- Navigate to the corresponding property, building, or unit.
- Select the checkbox in the first column of the table.
- Click on the row to open the editing area.
- Select the desired activation and archiving dates under "Status".
- Click "Save".
The status display is automatically determined based on the selected dates:
- Status "Setup": The activation date is in the future.
- Status "Active": The activation date is in the past, and an archiving date has not been set or is in the future.
- Status "Archived": The archiving date is in the past.
Note: Objects that have been imported via ERP interfaces cannot be edited in the Cockpit.
Display archived objects
By default, archived objects are hidden from the overview. To display them:
- Open Core data.
- Activate the "Show archived data" toggle at the bottom left of the table.
Notes on status management
- Pay attention to the dependencies between the levels when changing statuses.
- After a change, check whether all dependent objects are still displayed correctly.
- The status assignment affects visibility, app access, and the scope of functions.
