Introduction

The Core data function in the Allthings Cockpit enables the structured and centralised management of your real estate objects. Here you record and organise basic information on properties, buildings and units – the foundation for numerous functions such as issue management, the communication centre, bookings or the documents area.

The core data overview is structured hierarchically and allows intuitive navigation through all levels:

• When you open Core data, you will first see all properties to which you have access with the "Core data | Manage core data" permission.
• Select an app to display only the properties of the selected app.
• Clicking on a property displays all associated buildings.
• Selecting a building shows all units contained within it.
• One more click on a unit takes you to the detail view. There you can manage, among other things, rental periods, ownership periods, residents, activation codes and specific unit information.

This clear structure helps you to maintain your data efficiently and make it available across all channels.

Create a rental period

1. Open "Core data" in the Allthings Cockpit.
2. Navigate to the desired unit in the table view: click on the property, then the building, and then the unit to open the detail view.
3. Navigate to the "Rental periods" tab.
4. Make sure no active rental period exists. A new rental period can only start one day after the end date of the previous period.
5. Click "+".
6. Set the start date of the rental period.
7. Save the new period.

You then have the option to invite residents to the app or create an activation code.

Create an ownership period

1. Open "Core data" in the Allthings Cockpit.
2. Open the detail view of the corresponding unit.
3. Make sure no active ownership period exists. A new ownership period can only start one day after the end date of the previous period.
4. Navigate to the "Ownership periods" tab.
5. Click "+".
6. Set the start date of the ownership period.
7. Save the new period.

You then have the option to invite the ownership to the app or create an activation code.

Archive or delete a rental or ownership period

You have the option to permanently archive or delete a period. Once a period has been deleted, it cannot be restored.

Archive a period

1. Open "Core data" in the Allthings Cockpit.
2. Navigate to the detail view of the unit with the active period.
3. Open the "Rental periods" or "Ownership periods" tab.
4. Set an archiving date under "Period" to archive the rental or ownership period.
5. You then have the option to create a new period.

Please note that a new period can only start one day after the end date of the previous period.

Delete a period

1. Open "Core data" in the Allthings Cockpit.
2. Navigate to the detail view of the unit with the active period.
3. Click "Delete rental period", or navigate to the "Ownership periods" tab and click "Delete ownership period".
4. Confirm your selection by clicking "Delete".
5. You then have the option to create a new period.
