Introduction
EVVA Xesar is an electronic locking system by EVVA. Through an interface, EVVA Xesar is connected to the Allthings booking feature: as soon as someone books a resource linked to an EVVA Xesar access point, a digital access code is automatically generated and sent to them for the duration of the booking.
How it works
Access control runs fully in the background of the booking feature:
- Once a booking for a linked resource is confirmed, an access code is automatically requested from EVVA Xesar.
- The person who made the booking receives this code by SMS to the phone number stored in their Allthings Account.
- The code must be activated in the EVVA Xesar app within 48 hours of receiving it.
- Access is valid strictly for the exact duration of the booking.
- If the booking is cancelled or declined, the access permission is automatically revoked.
- Expired access data is cleaned up automatically every day.
Information for residents
When you book a resource connected to EVVA Xesar, you will see the "EVVA Xesar Access Control" section in your booking confirmation. It informs you that your access code will be sent to your phone by SMS.
- Make sure a valid mobile number is stored in your Allthings Account.
- Activate the code you receive by SMS within 48 hours in the EVVA Xesar app.
- Unlock the booked door using the EVVA Xesar app during your reserved time slot.
- If you book a resource for someone else, the access code is sent to the phone number you provide for that person.

Information for property management
Setup and activation
Setting up EVVA Xesar is done together with Allthings and the EVVA partner on site, and includes the following steps:
- EVVA Xesar sets up an access point or zone for each bookable resource and provides the corresponding ID.
- This ID is entered in the Cockpit on the relevant bookable resource under "Access Control Identifier" (format
accessPoint:IDorzone:ID, comma-separated for multiple values). - The connector itself is set up and activated by Allthings using the technical credentials provided by EVVA.
Management and control
Once set up, access provisioning runs fully automatically: permissions are granted when a booking is confirmed and automatically revoked once the booking ends or is cancelled. Manual key or badge management by your team is no longer needed for these resources.
Introducing it to residents
When introducing the feature, let your residents know they need a smartphone with the EVVA Xesar app and should activate their access code shortly after receiving the SMS. A pinboard post or info article can help support this.
