Introduction
Estatewise (by Wise AG) is a specialized platform for the digital management of condominium owners' communities (STWEG) in Switzerland. It supports the organization of owners' meetings, agenda creation, secure digital voting on agenda items, and the storage of minutes and reports.
The connection to Allthings runs entirely in the background: once per night, Allthings automatically sends the relevant core data (units, owner profiles, ownership shares) to Estatewise via an API. There is no visible menu item for this solution in the Resident Portal or Cockpit — it operates purely in the background.
How it works
The integration runs through the following steps:
- Data retrieval: Allthings retrieves the core data of properties and units as usual from the connected ERP system.
- Filtering: Only units with a stored ownership share and a complete address and property assignment are considered, and only if at least one person is assigned.
- Assigning people: Depending on the configuration, people are taken from either the ownership or the tenancy period of the unit (see setup under property management).
- Synchronization: The processed data is automatically transferred to Estatewise via API once per night.
- User creation: New owners and tenants are created directly in the Estatewise system, without any manual effort for property management.
The actual owners' meeting — invitations, voting, minutes — then takes place entirely within Estatewise.
Information for residents
This solution does not appear as its own feature in the Resident Portal. If you are the owner of a unit for which this connection is active, you will receive invitations to owners' meetings and access to digital voting directly from Estatewise by email. Your contact details stored in the Resident Portal are automatically used for this.
Information for property management
Setup and activation
The connection is set up by the Allthings Team in the Cockpit for the relevant property. The following information, provided by Estatewise, is required:
- Utilisation period type: Defines whether owners are stored as ownership or tenancy period users.
- Estatewise ERP property ID: The property identifier assigned by Estatewise.
- Estatewise API key: Used for secure authentication of the nightly data transfer.
It can also be configured whether new people are automatically registered with Estatewise, and whether an activation request or an automatic registration code bypass is used.
Management and control
The ownership share per unit is maintained as the custom field "Ownership shares" at unit level in the Cockpit. It is a prerequisite for a unit to be transferred to Estatewise. The synchronization itself runs fully automatically every night — manual triggering is not intended for regular operation.
Introducing the solution to residents
Inform the affected owners in advance that they will receive invitations and voting documents for owners' meetings directly by email from Estatewise. This can be communicated, for example, via the noticeboard in the Resident Portal.
